Privacy Statement
Harbourside RibFest 2026 • Effective June 2026
Your privacy matters to us. This statement explains what personal information we collect through the Harbourside RibFest 2026 surveys (the live event survey and the post-event feedback survey), why we collect it, and how it is protected. We are committed to handling your information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
1. Who We Are
The Harbourside RibFest 2026 survey is operated by Rotary Halifax Harbour, a not-for-profit Rotary Club based in Halifax, Nova Scotia. Harbourside RibFest is a community fundraising event organized by Rotary Halifax Harbour.

2. What Information We Collect
We operate two surveys. What we collect depends on which you complete:
Live event survey (completed at the event, July 3–5, 2026):
- Name and email address — used to administer the prize draw and, if you opt in, to send our newsletter
- Survey responses — your rib truck vote, event experience rating, feedback, age range, group type, how you heard about RibFest, and postal or zip code
- Draw participation data — which optional bonus actions you completed (newsletter subscription, social media follow)
Post-event feedback survey (available after the event):
- Survey responses — attendance details, spending, how you heard about RibFest, likelihood to recommend or return, open feedback, and first half of your postal code
- Email address — only collected if you choose to join our mailing list at the end of the survey
Both surveys collect:
- Anonymous usage data — via Google Analytics, including pages visited, buttons clicked, and survey completion events. No personally identifiable information is sent to Google.
We do not collect payment information, government identification, or any sensitive personal information.
3. Why We Collect It
Your information is collected for the following purposes:
- To enter you in the Harbourside RibFest 2026 prize draw (live event survey only)
- To understand who attends RibFest and what we can improve, so we can plan better events
- To subscribe you to our newsletter, only if you explicitly opt in
- To prevent duplicate entries in the prize draw (live event survey only)
We will not use your information for any other purpose without your consent.
4. Data Retention & Deletion
All names and email addresses collected through this survey will be permanently deleted within 90 days after the close of Harbourside RibFest 2026 (on or before October 3, 2026). Anonymised or aggregated survey data (with no personally identifying information) may be retained for event planning purposes.
If you subscribed to our newsletter, your email will remain in our mailing list until you unsubscribe. You can unsubscribe at any time using the link in any newsletter email.
5. Sharing of Information
We do not sell, rent, or trade your personal information to any third party.
Your information may be shared with the following service providers solely for the purpose of operating this survey:
- Cloudflare — used for website hosting, database storage, and bot protection (see section 6)
- MailerLite — used to manage newsletter subscriptions, if you opt in. MailerLite's privacy policy is available at mailerlite.com/legal/privacy-policy
- Google Analytics — used to collect anonymous usage statistics about how visitors interact with this survey (e.g. how many people started or completed it). Google may process this data on servers outside Canada. See Google's Privacy Policy for details.
These providers are contractually required to protect your information and may only use it to perform services on our behalf.
6. Cloudflare — Hosting, Storage & Bot Protection
This website is hosted and powered by Cloudflare, including:
- Cloudflare Pages — hosts and delivers this website
- Cloudflare D1 — stores survey responses in a database managed by Cloudflare
- Cloudflare Turnstile — an invisible bot-protection tool used when you submit the live event survey. Turnstile verifies that you are a real person without using intrusive tracking cookies or CAPTCHA challenges. Not used on the post-event survey.
Cloudflare may process data on servers located outside Canada, including in the United States. By submitting this survey, you acknowledge that your information may be transferred to and stored in other jurisdictions.

7. Your Rights Under PIPEDA
As a resident of Canada, you have the right to:
- Know what personal information we hold about you
- Request access to your personal information
- Request correction of inaccurate information
- Withdraw your consent at any time (subject to legal or contractual restrictions)
- Lodge a complaint with the Office of the Privacy Commissioner of Canada

8. Security
We take reasonable measures to protect your personal information from unauthorized access, use, or disclosure. Survey data is stored in an encrypted database managed by Cloudflare, and access to the administration panel is restricted and requires authentication.
